As a Signature Vacations Data Administrative Coordinator, you would be responsible for executing your position’s responsibilities and driving company success through performing the following tasks to the highest standards:
The Primary function is to oversee and enter leads from various sites, prepare lead count reports, and create and distribute various reports as required.
The Team Member will report status of leads, including gross leads received, leads entered into company software system, and net leads after the Do Not Call scrub and reports back to sites the net leads available to call. In addition, this position may generate and distribute reports including call time reports, production reports, and any ancillary reports as requested. This Team Member will maintain a level of accuracy of at least 90% of input on all data entry tasks and ensure confidentiality of all data.

- Oversee HGV Signature Vacation daily auditing to ensure accuracy of package details and verify member eligibility in accordance with company guidelines.
- Assist with monthly transaction reconciliation by reviewing, validating, and resolving discrepancies to maintain accurate financial records.
- Conduct daily arrival fulfillment cost audits to monitor expenses, ensure reporting accuracy, and support budget adherence.
- Maintain and update key leadership tracking files, including employee tracker, FMV sheet, and FDI sheet
- Support operational reporting and administrative processes, including but not limited to: Daily production drive completion, CC Transaction uploads, Contest and raffle tracking, Vendor invoice auditing, Orphan Tour report management, Weekly arrival reporting for pre-arrival partners, Island Hopper arrival tour reporting, Booking notes documentation, Assist with completion of HSV program “shop” requirements as needed.

- Complete all required company training and compliance courses within designated timeframes.
- Adhere to company standards, policies, and procedures, maintaining full compliance in all aspects of the role.
- Perform additional administrative, operational, or analytical duties as assigned to support departmental objectives.

- High School Diploma
- Ability to work a flexible schedule
- Proficient in Microsoft Word, Excel, Outlook and PowerPoint
- Proficient in data entry
- Ability to work in a fast-paced environment, react quickly to changes and proactively resolve needs of leadership and department
- Ability to handle all matters with confidentiality and discretion
In addition, the following qualifications, knowledge, skills, abilities, and experience are preferred:
- Call Center and phone skills experience
- Customer service for 2+ years
