The Sales & Marketing Business Coordinator supports Business Management, Marketing, and Sales by providing essential administrative support and operational assistance. This role is responsible for managing gifting and activity programs, processing invoices, and ensuring timely payments to vendors and independent contractors. In addition, this position supports Hawaii Marketing by assisting with Marketing logistics that help drive and support overall objectives. Through accurate tracking, strong organization, and effective communication, this position plays a key role in maintaining smooth business operations and enhancing Sales & Marketing effectiveness.

Schedule details:
This opportunity is open to residents of Oʻahu and Maui. The position requires flexibility to work a varied schedule, which may include mornings, evenings, weekends, and holidays.
Additional responsibilities include:
- Understand, perform, and oversee full‑service gifting activity programs, manage vendor contracts and performance, supports Marketing operations with reconciliation and audit, ensuring accurate administrative and system processes to strengthen business efficiency.
- Understand, perform, and manage all accounts payable functions including invoice processing, general ledger coding, purchase orders, wire transfers, vendor setup, reconciliations, and audit support to ensure accurate and timely financial operations for Sales & Marketing.
- General understanding of the business and accounting principles to provide administrative assistance, basic month end accruals and support
- Assist in coordination of year-end audits and specialty reports (as requested)
- Correspond with internal and external customers and vendors regarding accounts payable and gifting matters
- Maintain an orderly office filing system: files, faxes, photocopy, and distributes/sorts of mail as required
- Assist with ordering and maintaining office supplies
- Demonstrate basic computer and Microsoft office skills (i.e. Word, Excel, and Outlook applications)
- Demonstrate strong organizational skills in a fast-paced work environment

- Completes all required Company training/compliance courses as assigned
- Adheres to Company standards and maintains compliance with all policies and procedures

- Proficient in Microsoft Office
