What will I be doing?
- Answer multi-line departmental phones.
- Assists with the coordination of outside vendors and contractors.
- Assists Housekeeping Management in coordinating with Engineering on a comprehensive preventative maintenance program for all units and facilities.
- Assist Management with ordering, receiving, supplies, as well as maintaining departmental checkbooks, tracking and processing invoices.
- Assists management in administrative duties including filing, faxing, maintaining records and attendance on team members as well as other clerical duties assigned by a manager.
- Assists with departmental inventories
- Maintains tracking systems for projects.
- Must have the ability to deal with a high paced environment, often shifting priorities as needed
- Must have the ability to multi-task responsibilities and prioritize duties
- Must be flexible to schedule changes in order to meet business demands.
- Must demonstrate excellence in service quality standards that affect guest satisfaction, responding to guests in a timely and professional manner.
- Courteous and professional demeanor must be displayed when handling upset guests and difficult situations.
- Bilingual English/Spanish is preferred in order to communicate both verbally and in writing with team members and guests.
- Regular attendance in conformance with the standards, which may be established and revised by HGVC from time to time, is essential to the successful performance of this position. Carries out reasonable requests of management Confidentiality is necessary
- Carries out any reasonable requests by management
- Assists with the coordination and dispatching of all daily maintenance requests.
- Assists in coordinating efforts with outside contractors and vendors.
- Maintains inventory and ordering of maintenance parts and supplies
- Assists in daily operation and managing of the Synergy maintenance management work order system.
- Maintains an inventory/par level for engineering parts, attic stock and materials.
- Liaison and point of contact for onsite contractors.
- Assists in monitoring of all Engineering department operating budgets and creating variance reports.
- Assists with organizing, instructing, training and record keeping of all Maintenance training and safety awareness programs. Promotes safety awareness among all members of the department, adhering to resort and legislative procedures and regulations.
- Maintains effective communication and interaction with Engineering Leadership and all other departments of the property, ensuring Management is aware of any unresolved problems or issues, and any upcoming potential problem areas.
- Routinely inspects all rooms and public areas to ensure they are in compliance with established standards of product quality, appearance, and functionality.
- Assists on all guest activities as required by management. Carries out a reasonable request by management.
