Lead the Sales & Marketing Administration function within to provide support services to Sales & Marketing teams.
Partner with business leaders to prioritize, simplify, standardize and streamline processes to drive efficiency.
This role will be managing consolidated administrative functions for General Affairs (GA), Sales Support (SAA) and Marketing Support (MSC).
Building, Developing, and Maintaining Team: Collaborate and Instills Trust
• Attend hiring interviews and support acquiring great talent, growing skills for networking and recruiting talent
• Conduct monthly 1×1 with the team and help support developing growth plan and goal setting
• Work with Senior team member to build training program that would grow individuals and/or the team
• Identify and solve issues within and/or across teams
• Adhere to the team’s attendance policy including monitoring sick calls and adjusting work schedule as necessary
• Strategic Partnership & Collaboration with Department Managers to improve and be efficient in support
• Provide feedback to Management, hold constant team meeting to improve performance and communication
• Accomplishes team results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining team members; initiating, coordinating, and enforcing systems, policies, and procedures.
• Performs mid-year and annual evaluations and work with Sr. Manager – Bus Ops on merit recommendations
• Schedules and adjusts work assignments to ensure adequate coverage and manages PTO
Establishing and Evolving Operational Procedures: Collaborate, Customer Focus, and Action Oriented
• Be on constant alert for perspective and feedback from the field and work with Sr. Manager to realize higher efficiency and productivity
• Be part of launching any new procedure or system at initial stage to ensure procedural gaps are filled among related parties at earliest timing possible
• Create and share best practices among teams to maintain consistency and integrity
• Responsible for communication and implementation of new or revised procedures
• Engage team to help innovate and drive change aimed at streamlining processes and creating efficiencies
• Partner IT and BM to understand best practices in developing and managing a lease contracts database
• Determine and deploy security and emergency procedures’ preparedness
• Ensure compliance with all business license requirements
• Handle facility management by supporting business groups on repairs, renovations and office moves
• Support TM and community events
• Completes special projects to improve efficiency, communication, automation and branding by organizing and coordinating information and requirements; planning, arranging, and meeting schedules
Travel
• Plan business travel plans, justify the needs, report expected outcome to justify the need of travel.
• Once business trip is done, hold TM accountable to provide feedback and come up with action plans, and follow up
