This position is responsible for Sales Administration support for our Las Vegas Sales team. In addition to supporting the SVP, Sales with administrative duties, this role will also supervise a team of 3-5 Sales Coordinators who are responsible for accumulating, verifying, tracking and processing sales data for day-to-day sales business needs.
- Primary point of contact for the Senior Vice President (SVP) by greeting and assisting both internal and external guests/clients, responding to requests in a timely, friendly, and efficient manner and screening and prioritizing incoming and outgoing telephone calls and electronic communication.
- Demonstrate excellent and professional interpersonal communication skills and confidentiality in the handling of any form of communication.
- Demonstrate strong interpersonal skills in a fast-paced work environment. May also support additional members of leadership with administrative duties as needed.
- Perform word-processing, typing, e-mailing, data-entry, filing, faxing, scanning, copying, processing mail and taking notes and/or dictation. Must be proficient with Microsoft Office applications, to include PowerPoint and Excel.
- Create, handle, and maintain a sophisticated calendar. Organize and prepare the Senior Vice President (SVP) for meetings and appointments, preparing agendas, talking points and presentations, capturing materials, and updating logistical information (meeting locations, dial-in numbers, etc.).
- Handle the travel needs of the SVP and VP’s of Sales & Marketing, including, but not limited to, planning, scheduling, and booking travel, creating detailed itineraries, scheduling meetings, functions, and meals, and preparing and tracking expense reports in a timely manner.
- Track, monitors and prioritizes tasks and projects, collaborates with multiple parties of all levels, and handles confidential information.
- Process documents for the SVP and VP of Sales & Marketing, including, but not limited to, obtaining information and signatures, and supervising documents through to completion.
- Coordinate and plans special events such as awards ceremonies, business dinners, parties, etc. and assists with the coordination of Sales & Marketing programs/projects for SVP and VPs of Sales & Marketing.
- Manage relationships with vendors, corporate partners, and other department leaders as vital.
- Lead Expense reports for SVP and VPs of Sales & Marketing
- Lead charity donations and cash flow
- Responsible for recruiting, interviewing, and onboarding new sales coordinators at all Las Vegas properties
- Responsible for training schedules for new sales coordinators at all Las Vegas properties
- Assess and handle sales coordinator performance
- Set strategic long and short-term HGV goals and evaluate outcomes
- Maintain best practices for department efficiency
- Handle sales coordinator issues/complaints
- Maintain balance among workload for all sales coordinators for all 3 properties
- Empower, mentor & inspire sales coordinators while facilitating personal growth
- Ensure high levels of productivity are maintained
- Communicate job expectations to sales coordinators
- Conduct training for continued skills improvement
- Foster a productive working environment among sales coordinators
- Establish adherence to company and industry standards
- Supervise and monitor sales coordinators’ schedules and daily production
- Ensure coordination of end of month performance reviews
