What Will I be Doing?
As a Senior Resort Operations Specialist, you will play a pivotal role in supporting and enhancing the operational and administrative functions of the Business Management Department. This position requires expertise, precision, and an initiative-taking approach to driving organizational excellence. Serving as the primary liaison between team members and interdepartmental partners, you will provide guidance, training, and support while contributing to the team’s growth and success. Reporting to the Senior Business Manager, you will complete responsibilities with a strong commitment to service excellence and operational efficiency.
You are responsible for driving company success through performing the following tasks to the highest standards:
Financial Oversight
- Oversee the preparation, reconciliation, and management of departmental budgets and financial checkbooks.
- Oversee various Account Payable functions for multiple resorts.
- Prepare and review monthly accrual spreadsheets for multiple resorts, collaborating with team members to ensure accuracy.
- Oversee various payroll functions for multiple resorts.
Reporting & Analysis
- Compile and analyze monthly P&L variance reports, working with department leaders to finalize data for review.
- Reconcile daily bank activity, addressing discrepancies promptly.
- Handle vendor inquiries for multiple resorts, ensuring timely and professional resolution.
- Track and analyze data related to productivity metrics and expense various expenses.
- Conduct monthly bank audits and prepare summary reports for managerial review.
- Create and submit end-of-month (EOM) reports to ensure thorough operational tracking.
Budgeting & Forecasting
- Collaborate with department heads to refine and manage monthly forecast models and provide actionable insights.
- Assist in the preparation and alignment of annual budgets, including HOA, Reserve and Rental Retail budgets.
- Support reserve reconciliations and project management by processing invoices and ensuring proper documentation.
Process Audits & Compliance
- Lead regular audits to ensure adherence to compliance standards and best practices.
- Track expenses and verify adherence to purchasing guidelines, ensuring proper documentation for high-value expenditures.
- Maintain and manage contract logs, coordinating renewals, bids, and RFP processes.
Team Leadership & Support
- Provide cross-functional support and serve as the primary backup for team coverage during absences.
- Partner with the Senior Business Manager on strategic projects and assist in planning and execution.
- Support team operations by reviewing and preparing bi-weekly reports for leadership.
