What Will I be Doing?
The Executive Assistant II supports the EVP Finance in a wide range of administrative and executive support tasks, working independently with little or no supervision, while being initiative-taking, resourceful, and efficient, with an elevated level of professionalism and confidentiality. In addition, this position supports other senior level executives on the Finance team.
You are responsible for driving company success through performing the following tasks to the highest standards:
- Scheduling and Meeting Preparation
- Create, manage, and maintain a complex calendar, including a range of internal and external meetings in a highly dynamic environment, requiring frequent re-prioritization and shifting of appointments.
- Organize and prepare EVP Finance for meetings and appointments including preparing agendas, talking points, and presentations, gathering necessary materials and updating all essential logistical information (meeting locations, dial-in numbers, etc.) and ensuring any scheduling conflicts are addressed prior to the meeting.
- Coordinate all logistics for meetings and events such as venue selection, set up, catering, audio visual and other needs, and attend as needed to ensure successful execution.
- Communication
- Serve as primary point of contact for EVP Finance to prioritize and escalate issues on a daily and ongoing basis to maximize the use of their time and resolve issues in advance where possible.
- Screen, prioritize, manage, and organize incoming and outgoing phone and electronic communications on behalf of the EVP Finance
- Draft, review, and execute executive correspondence which includes letters, memos, emails, and timely responses to actionable requests.
- Travel
- Plan, schedule and book business travel arrangements and create highly detailed itineraries, plan and schedule meetings, functions, and meals, etc. as needed at each location
- Prepare and track expense reports in a timely manner following travel.
- Review C-level Expense reports and her direct reports expenses for accuracy against company T&E policy
- General Duties
- Maintain an organized system for tracking, monitoring, and prioritizing tasks and projects. Activity requires extensive collaboration with multiple parties, and handling of sensitive and confidential information.
- Obtain the necessary information and signatures for documents needed by the EVP Finance; follow through with tracking to ensure that they are properly processed and/or reach the appropriate party
- Provide support to other members of the management team as requested by the EVP Finance
- Liaison between EVP Finance and direct reports to ensure a smooth working environment
- Assist with EVP Finance direct reports and any other duties as assigned within the team.

To fulfill this role successfully, the individual should possess the following qualifications, knowledge, skills, abilities, and experience:
- High School Diploma
- 15+ years of prior Executive Administrative experience supporting C-Level Executive in a Corporate Environment
- Ability to demonstrate customer service focus and attention to detail
- Ability to anticipate the needs of others
- Ability to demonstrate good judgment and decision-making skills
- Strong written and verbal communication with strong grammar and proof-reading experience
- Proficient in Microsoft office including Word, Excel, and PowerPoint
In addition, the following qualifications, knowledge, skills, abilities, and experience are preferred:
- Bachelor’s Degree
- Notary Public
