Resort Administration Supervisor

Job Responsibilities
As a Resort Administration Supervisor, you will:
- Ensure all pre-arrival information is produced and distributed to guests and relevant departments, strictly adhering to brand standards.
- Support the promotion of activities and events targeting time ownership guests.
- Respond to and analyze guest responses received through SALT surveys, ensuring we continuously improve our services.
- Ensure the posting of weekly miscellaneous revenues, such as grocery packs.
- Maintain daily communication with maintenance and housekeeping departments in the absence of the Resort Administration Manager.
- Align with the purchase order procedure, ensuring deliveries are checked upon receipt and discrepancies are addressed.
- Assist with the maintenance of lead management processes, such as address changes.
- Liaise with owners’ debtors in accordance with current guidelines.
- Report any defects, damage, or hazards in the working environment.
- Carry out all duties in a safe manner, ensuring the health, safety, and welfare of yourself, other staff members, guests, and other persons on the premises.
- Respond to customer problems and ensure a high standard of service is delivered in a friendly and personalized manner.
- Ensure outstanding Customer Relations/Customer Service within the Front Office.
- Be available outside normal working hours to handle any unusual reservation situations that may arise.
- Have knowledge of legislation relating to guests, including the Hotel Proprietors Act.
- Be fully conversant with the resort fire and evacuation procedures, your role as a fire coordinator, the resort security procedures, and the Company’s purchasing procedures.
- Ensure all reservation systems are kept fully up to date and communicate any last-minute changes with all affected departments.
- Improve rental revenues and ensure relevant reports are produced and circulated.
- Liaise with the Finance department to ensure weekly and monthly reports are prepared and presented.
- Ensure all department colleagues are aware of revenue targets and are kept informed of performance results.
To be successful in this role, you should have:
- Proven experience in a supervisory or administrative role within the hospitality industry.
- Outstanding communication and interpersonal skills.
- Strong organisational and multitasking abilities.
- Ability to work independently and as part of a team.
- Flexibility to work outside normal working hours when needed.
- Detailed knowledge of reservation systems and hotel legislation.
- Focus on delivering outstanding customer service.
- Familiarity with health and safety regulations.
