This Front Office Manager role oversees two high performing Front Office teams, driving exceptional guest experiences while building distinctive relationships with owners, members, and guests from around the world. Greet and register guests, provide prompt and courteous service, and close out guest accounts upon completion of stay to meet Hilton’s high standards of quality.
Make a positive impact by providing spectacular service, while efficiently administering and promoting the Hilton Club mandatory and voluntary membership programs and Hilton Club- property ownership.
- Preregister all Hilton Club members and make preregistration key packets. Complete the registration process by inputting and retrieving information with routine difficulty from a computer system, confirming pertinent information. Promote Hilton marketing programs such as HHonors. Make appropriate selection of rooms based on guest needs. Code electronic keys. Non-verbally confirm the room number and rate. Provide welcome folders containing room keys, certificates, coupons and refreshment center keys as appropriate. Requires continual standing and movement throughout the Club area.
- Greeting customers immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, listen to requests, respond with appropriate action and provide accurate information such as outlet hours and hotel functions.
- Verify room status with housekeeping department and perform daily room inspections.
- Verify and imprint credit cards for authorization using electronic acceptance methods. Handle cash, make change, and balance an assigned house bank. Accept and record vouchers, traveler’s checks, and other forms of payment. Perform accurate, moderately complex arithmetic functions using a calculator. Post charges to guest rooms and house accounts using the computer. Required to move assigned cash from storage vault to drawer at the Club desk.
- Promptly answer the telephone using positive and clearly spoken English. Input messages into the computer. Retrieve messages and communicate the content to the guest. Retrieve mail, small packages and facsimiles for customers as requested.
- Close guest accounts at time of check-out and ascertain satisfaction. In the event of dissatisfaction, negotiate compromise, which may include authorizing revenue allowances.
- Field guest complaints, conducting thorough research to develop the most effective solutions and negotiate results. Listen and extend assistance to resolve problems such as price conflicts, insufficient heating or air conditioning, etc. Plan and implement detailed steps by using experienced judgment and discretion.
- Remain calm and alert, especially during emergencies and/or heavy hotel activity.
- Lock and unlock Club lounge depending on hours of operation. This process requires lifting signage weighing 20 lbs. and turning off equipment. Manual dexterity is required to manipulate switches and buttons.
- Effectively handle reservation requests, complaints, and answer inquiries regarding program benefits, mortgages, and maintenance fees.
- Interact with Orlando Call Center to insure timely resolution to issues involving Hilton Club Members mortgages, deeds, maintenance fees, delinquencies, and owner referrals via e-mail and telephone.

Explain and transact maintenance fee payments and Club assessments for owners of Hilton Club properties.

Receives inquiries on area attractions and resort amenities and provides directions and referrals.

Assists Sales and Marketing where possible to help ensure their successful operation.

Carries out a reasonable request by Management of which the employee can perform.
- Pick up mail from Front Office and Sales Departments
- Summon Front Service/Bell assistance to escort guests to their rooms as appropriate.
- Use the photocopier to make copies of items as required.
- File registration cards in room number order, daily arrivals and VIP sheets.
- Retrieve registration cards from the files for each check-out.
- Other duties as assigned by the supervisor such as assisting Concierge staff, Executive Towers staff, Front Office, or Reservation agents.
- Retrieve office supplies and maintain inventory of supplies.
