- Coordinate and manage title services for timeshare closings, ensuring compliance with legal requirements and industry best practices.
- Maintain accurate records and databases of title transactions, including the tracking and logging of original documents.
- Communicate with internal teams, such as the Open Issues team, to receive and process original documents efficiently.
- Assist in the preparation and review of legal documents, ensuring accuracy and completeness.
- Provide exceptional customer service to clients, addressing their inquiries, and ensuring a positive and professional experience.
- Collaborate with the development team to ensure timely title processing and address any potential delays or issues.
- Stay updated on industry regulations and trends related to title services, implementing best practices within the department.
- Manage the shared inbox, ensuring prompt and efficient response to internal and external inquiries.
- Assist the team with administrative tasks, including filing, data entry, and general office support.
- Maintain a high level of organization and attention to detail, ensuring a well-structured and efficient workflow.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong written and verbal communication skills, with a focus on clear and concise interaction with internal teams and clients.
- Proficiency in MS Excel for creating and maintaining spreadsheets, as well as data management and analysis.
- Previous experience in timeshare or a similar industry is preferred, with knowledge of timeshare closing processes and documentation.
- A proactive and enthusiastic team player attitude, willing to contribute to a positive and collaborative work environment.
- Ability to work independently, take initiative, and drive projects forward, ensuring timely completion of tasks.
- Strong problem-solving skills and a solutions-oriented approach to address challenges and find efficient resolutions.
- Attention to detail, ensuring accuracy in all tasks, particularly when handling legal documents and client information.
- A minimum of 1-2 years of experience in a similar role or industry is desirable, with a proven track record of success.
- A commitment to continuous learning and professional development, staying updated on industry trends and best practices.
