The Supply Clerk plays a critical role in handling the flow of materials and supplies while ensuring cost efficiency and demonstrating strong financial proficiency. This position is responsible for accurately receiving, inspecting, and verifying all deliveries, ensuring quality standards and alignment with packing slips and invoices. In addition to handling a variety of clerical and inventory-related tasks, the position works independently and demonstrates a proactive, resourceful, and diligent approach to maintaining efficient operations.

Schedule Details:
This role requires working on-site at our Sales Galleries located in Honolulu. You will be assigned a 5-day work week based on business needs. The ability to work on the weekends is required. Scheduled hours will vary between the hours of 6:30am- 5:00pm.
As a Supply Clerk, you will be responsible for:
- Ensure all received items are promptly delivered to the appropriate department or individual
- File and process interoffice invoices for incoming packages, confirm receipt and signatures
- Maintain accurate daily, weekly, and monthly inventory logs; place reorders with vendor contacts as needed
- Transport collateral between properties to support operational needs
- Send packages off-island as requested via FedEx
- Accurately account for department charges, pricing, and quantities
- Retrieve mail from the business center and Resort Ops Office and distribute efficiently
- Coordinates inventory orders with multiple vendors for Support Services, Sales, CRM departments
- Create and review requisitions: fulfill orders using multiple ordering systems
- Maintains on-site storage space in a clean, organized, and safe condition
- Operates company vehicles responsibly, adhering to all local, state, and federal driving laws
- Connect with vendors to ensure up-to-date listings, pricing, and resolve outstanding balances
- Replenish, organize, and label collateral for all sites to ensure operational efficiency.
- Maintains a professional appearance and demeanor while performing additional duties assigned by Management to support business objectives
- Lead monthly ordering budgets and request approval when vital
- Supervise and track expenses to ensure compliance with budgetary guidelines
- Identify cost-saving opportunities without compromising operational efficiency
- Ensure accurate reconciliation of vendor invoices and timely resolution of discrepancies
To fulfill this role successfully, you must possess the following minimum qualifications and experience:
- High School Diploma or equivalent
- Current Hawaii driver’s license and clear driver’s abstract (must provide annually)
- Able to work flexible schedules including mornings, evenings, weekends and holidays
- Ability to lift boxes up to 50 pounds and operate a hand truck
- Ability to stand/walk for extended periods
- Basic computer skills (Microsoft Office, Inventory systems)
- Ability to communicate professionally with guests and team members
- Ability to multi-task and balance priorities in a fast-paced environment
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
- 1 or more years of experience in supply clerk or inventory role.
- Familiarity with inventory management systems and vendor coordination.
- Strong organizational and problem-solving skills
- Demonstrated ability to work independently and proactively
