We are seeking a Sales Gallery Coordinator to join our dynamic team at Hilton Grand Vacations. In this role, you will play a vital part in ensuring a warm and welcoming environment for our guests and owners. Your responsibilities will include efficiently assigning guests to sales executives, managing incoming calls, and maintaining a meticulous record of tour assignments. Additionally, you will oversee inventory management, supervise financial transactions, and coordinate transportation services for an exceptional guest experience.   • Courteously greet guests and create a positive environment, supporting the sales team.
  • Efficiently assign guests to sales executives using a strategic rotation system.
  • Manage incoming telephone calls and provide knowledgeable responses to inquiries.
  • Accurately log tour assignments in the HGV system and maintain detailed tour information.
  • Update and interpret tour rules, ensuring the integrity of the sales process.
  • Conduct inventory management to maintain a well-stocked and inviting café and refreshment area.
  • Supervise financial transactions, including reimbursements and premium balancing.
  • Coordinate with the transportation team for seamless guest pick-up and drop-off services.
  • Ensure guest happiness and a memorable atmosphere through exceptional customer service.
  • Maintain a high level of organization and attention to detail in all tasks.
  • Excellent customer service skills and a friendly, welcoming demeanor.
  • Strong organizational skills and the ability to manage multiple tasks.
  • Attention to detail and a commitment to accuracy in record-keeping.
  • Effective communication skills, both verbal and written.
  • Proficiency in using computer systems and software, including the HGV system.
  • Ability to work independently and as part of a team, supporting the sales team’s goals.
  • A positive and enthusiastic attitude, with a passion for delivering exceptional guest experiences.
  • Previous experience in a customer-facing role or in a similar sales environment is preferred.
  • Basic knowledge of inventory management and financial transaction supervision is an asset.
