We are seeking a meticulous and proactive Sales Coordinator to support high-level leadership and ensure detailed daily operations for our sales team. The ideal candidate will be responsible for handling employee schedules, attendance records, FMLA/ADA callouts, and assisting with various administrative tasks. You will work closely with management to maintain accurate reports, facilitate onboarding, and support the sales team in achieving their daring goals.
Key Responsibilities:
- Reporting & Scheduling: Support leadership by crafting and distributing reports, Sales Executive & Manager schedules, and other vital documentation.
- Attendance Management: Maintain and update attendance logs for all sales positions; prepare and distribute attendance warnings as needed.
- Payroll Support: Acquire missed punch information and enter data in ADP for sales executives. Submit weekend payroll/OT reports.
- FMLA/ADA Tracking: Monitor and supervise all FMLA/ADA/LOA/SICK time. Log all callouts and adjust PTO in Oracle. Enter time for team members that come in late and leave early into Oracle.
- User Access Management: Request new user access for new hires, handle system modifications, and manage user terminations.
- Support the onboarding of sales executives by guiding them through the time clock system, providing name tags, ordering business cards, and assisting with badges and parking passes.
- Meeting Coordination: Prioritize and send meeting planners when vital. Use the TEAMS application for all meetings.
- Ordering Supplies: Order all office supplies for management. Enter in Oracle/Procurement and track when orders have been delivered. Maintain the supply closet and keep it well stocked. Ensure the printers are stocked with paper at all times.
- IT Support: Request IT assistance as needed through Grand Central.
- Special Projects: Assist with special projects such as crafting award certificates and other ad hoc tasks as assigned by management.
- Performance Reviews: Prepare monthly performance reviews sales and managers and ensure timely distribution within the first week of each month to meet target date.
- Monthly Roster Reports: Meet target date for monthly roster reporting.
- Schedule Management: Enter daily schedule updates and PTO requests & LOA. Build new monthly schedules and vacation calendars and handle any changes to the schedule, such as adding new hires and deleting any resignations or terminations.
- Cross-Department Support: Fill in for other Sales Coordinators when they are out of the office and help support other sales offices when vital.
- Communication: Manage timely communication among sales coordinators, management, and leadership.
What are we looking for:
We require a high school diploma or equivalent experience for this position.
At least 1 year of administrative support experience.
Strong proficiency in Microsoft Office, including Excel.
Ability to work independently and prioritize multiple tasks.
Excellent interpersonal skills and attention to detail.
Strong interpersonal skills, both written and verbal.
Ability to meet daily goals and adjust to new processes quickly and accurately.
Preferred:
- Bachelor’s degree.
- 2+ years of experience in a similar administrative support role.
- Excellent proficiency in Outlook, Microsoft Office applications including Excel.
- Experience working in a fast-paced environment.
